In 2023, PT BUMA, a coal mining contracting company, experienced significant job growth and expansion. With the growing scale of operations, various work needs emerged, especially related to the completeness of the environment and equipment required in the field. Efforts to ensure that the work performed was in line with BUMA's existing systems became an urgent need. Therefore, the company saw the need for a digital solution to plan the sequence of work in the mining area. Currently, the planning process still faces several issues that require improvement, including humanity in the process and lack of data integration. As such, the implementation of a digital solution is expected to optimize planning efficiency and solve the challenges faced today.

Problem Statement

This summarizes the challenges faced in managing a coal mining site. The key issues include: maintaining a diverse range of equipment, optimizing maintenance schedules to avoid breakdowns, minimizing downtime through improved planning, and efficiently allocating resources. Additionally, there are challenges in integrating data between different software systems used for planning and maintenance. Finally, the current manual planning processes are identified as being slow and error-prone.

  1. Summary

In the initial phase of this project named "Digital Planning" for coal mining asset management, a comprehensive understanding of the project brief was established. The focus was on developing a software solution to address maintenance needs for heavy machinery in coal mining sites, including excavators, heavy equipment, tractors, trucks, and more.

B. Key Elements From Brief

Stakeholder Engagement: A collaborative kickoff meeting was convened with stakeholders, encompassing maintenance professionals, site managers, and IT specialists. This session aimed to elicit a diverse range of insights, challenges, and specific user requirements.

Workflow Analysis: A research examination of the existing maintenance planning workflow at coal mining sites was conducted. This analysis sought to identify bottlenecks, pain points, and inefficiencies in the current process.

User Personas: To ensure a user-centric approach, detailed user personas were crafted. These personas represented distinct roles within the coal mining ecosystem, including maintenance planners, technicians, and site managers. These personas served as a compass for design decisions throughout the subsequent phases of the design sprint.

The "Define" phase sets the foundation for our case study on the digital planning product for coal mining asset management. We found the Problem Definition, which consists of several points :

  • Diverse Equipment Types

    Challenge: Managing various heavy equipment types, such as excavators, heavy machinery, tractors, trucks, etc., each with unique maintenance requirements.

    Objective: Develop a comprehensive strategy to address the diverse maintenance needs of different equipment types, optimizing their performance and longevity.

  • Maintenance Schedule

    Challenge: Optimizing maintenance schedules to enhance the longevity and performance of critical assets under demanding operational conditions.

    Objective: Implement efficient maintenance scheduling processes to minimize downtime and maximize the reliability of equipment, ensuring adherence to industry best practices.

  • Downtime:

    Challenge: Managing various heavy equipment types, such as excavators, heavy machinery, tractors, trucks, etc., each with unique maintenance requirements.

    Objective: Develop and implement strategies to reduce unplanned downtime, focusing on proactive maintenance measures and efficient planning to enhance overall operational continuity.

  • Manual Planning:

    Challenge: Time-consuming and error-prone manual planning processes contributing to suboptimal asset performance.

    Objective: Implement a sophisticated digital planning solution to replace manual planning processes, improving accuracy, efficiency, and overall asset performance through advanced planning and scheduling capabilities.

B. Current User Behaviour Planner

Explained & Context: The existing process of a planner creating a list of work tasks by first adjusting the work needs based on the unit in the Excel application manually and then entering data such as task name, task ID number, part status, job duration, after printing the excel manual and manual checking, then the data is inputted again in excel according to the reality in the field, and finally the planner enters the data in the SAP application to integrate it into the BUMA system.

C. User Persona

Output & Context: Benyamin needed a solution to automate the process of creating job task lists, improve team communication, and track job progress in real time. Integrated project management software with spreadsheet checker and data validation tools, as well as online communication tools and work progress tracking system, can help Benyamin overcome his problems and improve his efficiency and effectiveness at work.
